Welcome to the Patient Follow-up and Symptom Monitoring Service provided by Dr. Abdelrahman Gamal – Oncology & Hematology Clinic (hereinafter referred to as “the Service”).

By participating in this service, you explicitly consent to the practices described in this Privacy Policy.

1. Data We Collect

1.1 Personal Identification Data
We collect the following information:

• Patient’s full name

• Patient’s WhatsApp phone number

• collect symptoms from the patients

• This information is voluntarily provided by the patient and is used solely to support clinical assessment

1.2 Symptom Assessment Responses (sent every 7 days)
You will receive eight standard questions regarding: nausea, vomiting, diarrhea, constipation, fatigue, numbness/tingling, pain, and any additional symptoms you may have. These questions use the following scale: No symptom [0], Mild [1], Moderate [2], Severe [3], Very Severe [4].

1.3 Additional Free-Text Symptoms
When asked “Do you have any other symptoms?”, your written response is processed by an internal AI (RAG) system solely to extract and summarize clinical meaning.

1.4 Automated Safety and Activity Data
We automatically track the following for patient safety:

• Message delivery and read status

• Time since your last reply

• Flags for late responses

• Detection of clinical worsening by comparing your current answers to previous responses

2. How We Use Your Data
   Your data is used to track symptom progression, update your medical record in Google Sheets, send automated weekly check-ins, and issue reminders if you do not respond (after 24 hours, then 48 hours, and after 72 hours an alert is sent to the doctor). The doctor is notified immediately if symptoms worsen significantly. Free-text symptom descriptions are converted into structured clinical summaries using the internal AI system. All communication occurs only through the clinic’s official WhatsApp Business number.

3. Legal Basis for Processing
   We process your data based on your explicit consent, medical necessity for patient safety and monitoring, and legitimate interest in automated reminders and escalation protocols.

4. Data Storage and Security
   All patient data is stored in a private, access-restricted Google Sheet that only Dr. Abdelrahman Gamal can access. All messages are handled through WhatsApp Business and n8n using encrypted connections. The internal AI (RAG) system never uses identifiable data for training or external purposes. Security measures include end-to-end encryption, restricted permissions, audit logs, and regular system monitoring.

5. Data Sharing
   Your data is not sold, rented, or shared with any third party. It is only accessible to Dr. Abdelrahman Gamal and the internal automated systems required to operate the service.

6. Data deletion
   Data is retained only for the duration of your participation in the monitoring program. If you request deletion, all your data will be permanently removed from Google Sheets, AI processing logs, and WhatsApp message history (as allowed by WhatsApp).

7. Your Rights
   You have the right to access your data, correct inaccuracies, request permanent deletion, withdraw consent, and stop receiving automated messages at any time. Simply message Dr. Abdelrahman directly on WhatsApp, and your request will be processed immediately.

8. Children’s Privacy
   This service is intended for adults aged 18 and above. Minors may participate only under the supervision of a legal guardian.

9. Changes to This Policy
   Any significant updates to this policy will be communicated directly via WhatsApp.
